Profreelance — Workflow Audit intake. Share a clear picture of your current workflow so we can identify bottlenecks, inefficiencies, and opportunities for automation.
Describe your core offer(s) in detail: the specific problems you solve, the outcomes you deliver, and your ideal client profile (industry, size, role). Include what makes you different from competitors.
Walk us through your complete client journey step-by-step. Start with how leads come in (website form, referral, cold outreach, etc.) and trace every touchpoint: initial call, proposal, onboarding, kickoff, delivery phases, revisions, invoicing, and payment collection. Note who does what at each stage and how information moves between people or tools.
List the recurring tasks you or your team complete every week. Think across admin, sales, client delivery, follow-ups, reporting, invoicing, and anything else. Be specific — include how often each task happens and roughly how long it takes. Examples: sending weekly status updates, chasing late payments, updating project timelines, formatting reports, scheduling calls, reconciling expenses.
Identify the specific points where projects get delayed, stuck, or require rework. Think about handoffs between team members, approvals from clients, waiting for information, revision cycles, or anything that creates friction. What typically causes these bottlenecks? Are they predictable or random?
List every tool, platform, and software you rely on to run your business. Include everything: email, calendar, CRM, project management, file storage, invoicing, time tracking, communication, automation, accounting, and any niche tools specific to your industry. Note which ones integrate with each other and which create friction.
What templates, checklists, SOPs, or documented processes do you currently have? This includes proposal templates, onboarding checklists, project kickoff documents, email sequences, invoicing processes, or any repeatable workflows you follow. Note what’s documented vs. what lives in someone’s head.
What feels hardest about running delivery and operations right now? Think about client communication, scope management, team coordination, quality control, time management, or anything else that consistently causes stress or takes more effort than it should.
Where do you suspect time, revenue, or margin is being lost? Consider scope creep, late payments, rework, duplicated effort, missed follow-ups, undercharging, inefficient handoffs, or any other areas where resources disappear without adding value.
Anything else we should know to assess your workflow accurately. This could include team structure and roles, service delivery model (retainer vs. project-based), client expectations, industry constraints, seasonal patterns, or any other factors that shape how you operate.
What would a successful next 1–2 months look like for your operations? Be specific about outcomes you want to achieve — for example, reducing project turnaround time by 30%, cutting admin work by half, implementing a new CRM, improving cash flow, or freeing up 10 hours per week. Include any metrics or milestones you’re aiming for.
